Job Summary:
The Administrative Assistant provides essential support to the Project Management team by assisting with project execution, handling administrative tasks, and managing procurement activities. Fluency in French, English, and Chinese is required to facilitate communication with both local and international clients and stakeholders. The ideal candidate will possess excellent organizational and communication skills to ensure smooth project operations and successful outcomes.
Key Responsibilities:
- Assist the Project Manager in planning, executing, and completing projects efficiently.
- Coordinate project schedules, activities, and resource allocation.
- Prepare and maintain comprehensive project documentation, including reports, meeting minutes, and presentations.
- Manage administrative tasks, such as calendar management, scheduling meetings, and organizing travel arrangements.
- Oversee procurement activities, including sourcing suppliers, obtaining quotes, and negotiating contracts.
- Ensure the timely and cost-effective delivery of goods and services within budget.
- Communicate clearly and professionally with team members and stakeholders in French, English, and Chinese.
- Assist in organizing and supporting project meetings, including managing logistics and tracking follow-up actions.
- Monitor project progress and proactively report any risks or issues to the Project Manager.
- Facilitate smooth communication between local and international teams.
Qualifications:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Fluency in French, English, and Chinese (written and spoken).
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication, interpersonal, and problem-solving abilities.
- Proficiency in Microsoft Office Suite and project management/procurement software.
- Prior experience in project coordination, administration, or procurement is a plus.
