Key Responsibilities

Project Operations & Support

  • Coordinate with Project Service Manager on sea-border permit registration for offshore projects.

  • Monitor CTV suppliers' compliance with maritime documentation requirements.

  • Support project teams with issues related to administrative procedures, payment processes, and internal systems.

  • Track project cost centers and coordinate monthly with Project Manager, Finance, and HR.

Asset & Inventory Management

  • Manage fixed assets (especially vehicle operations, monthly efficiency and fuel tracking).

  • Maintain and coordinate the gift inventory for project teams at HCM office.

  • Work closely with Admin Dept. for stock checks and additional purchase registrations.

Procurement & Contracts

  • Handle local procurement tasks in Vietnam & Laos based on project needs.

  • Review subcontractor contracts, monitor expiration dates, and coordinate renewals or supplier searches.

  • Support contract payment processes on company systems and update supplier information.

Translation & Documentation

  • Translate and interpret for internal and owner meetings (on-site and online).

  • Translate business letters, contracts, and official documents; manage hardcopy archives.

Laos Project Support

  • Assist in administrative and coordination tasks for projects in Laos (Truong Son, Savan, etc.), including occasional travel.

Team Coordination & Training

  • Organize internal meetings, team-building activities, and satisfaction surveys.

  • Liaise with external training providers for project-related training sessions (e.g., GWO, HSE Law).

HSE Reporting

  • Assist in preparing monthly HSE reports under the guidance of the HSE Director.


Requirements

  • Bachelor’s degree in Business Administration, Project Management, or related field.

  • 1–3 years of experience in project coordination, operations, or administration.

  • Fluency in Chinese (Mandarin) and good command of English is required.

  • Strong organizational and multitasking skills.

  • Experience with Microsoft Office;

  • Willingness to travel frequently for project-related tasks (Laos or remote areas in Vietnam).

  • Positive attitude, problem-solving mindset, and teamwork spirit.
