Long Description

The Administrative Assistant will provide administrative and coordination support to ensure smooth office operations and site activities in Ras Ghareb. The role requires a proactive, detail-oriented individual with strong organizational skills and fluency in English and Chinese , capable of handling daily administrative tasks, supporting employees, and facilitating communication across departments.

Key Responsibilities

  1. Administrative & Office Support

  • Manage daily office operations and administrative tasks.

  • Prepare, edit, and format documents, reports, and presentations.

  • Maintain office supplies and coordinate office maintenance to ensure a productive environment.

  1. Project Coordination & Documentation

  • Maintain permits, licenses, and records for vehicles, employees, and office assets.

  • Support departments in project planning and execution.

  • Assist with scheduling and project tracking.

  1. Employee Support (Local & International)

  • Maintain attendance records and support company events and training.

  • Coordinate site permits and ensure compliance with local regulations.

  • Manage visas, work permits, and residence arrangements for international staff.

  1. Procurement & Fleet Management

  • Process purchase requisitions (PRs) and purchase orders (POs) and liaise with suppliers.

  • Schedule vehicle maintenance and manage fuel refills and fleet logistics.

  1. Communication & Translation

  • Facilitate smooth communication between departments.

  • Provide translation for documents, meetings, and correspondence as needed.
